Job Title: Museum Administrative Assistant

Overview: Reporting directly to the Executive Director, the Museum Administrative Assistant's primary responsibility is carrying out the daily administrative activities of the Orcas Island Historical Museums. 20 hours a week.

Essential Job Functions

  • Performs the day-to-day administrative activities of the museum admin office
  • Maintain the Museum calendars and timelines
  • Primary responsibility for customer service, mail/general emails/phones/voicemail with the assistance of the director.
  • Maintains all Past Perfect functions as they relate to the membership – membership renewals, donations, mailing list, etc
  • Brick order processing
  • Responsible for daily cash drawer balancing
  • Responsible for entering deposits in Quickbooks and taking them to the bank
  • Participate in planning, preparing, hosting and follow-up of events and activities working closely with the director.
  • Act as Volunteer liaison for the Volunteer Coordinator resolving issues with Museum docents as they arise.
  • Managing assigned projects
  • Responsible for paying approved invoices
  • Responsible for filing records
  • Responsible for formatting bi-monthly e-newsletter, assisting with bulk mailings, managing contact lists and website maintenance

 Desired Qualifications

  • Demonstrate competent use of technology, computer programs, including Past Perfect, Quickbooks, MS Office, website building, Square, and the internet
  • Experience planning and overseeing events
  • Excellent organizational skills, with the ability to prioritize and manage multiple projects simultaneously, meet and anticipate frequent deadlines in a timely manner, and manage situations through from start to finish
  • Effective time management and organizational skills, demonstrated success in a multi task, team- oriented environment.
  • Ability to work well under pressure and exercise sound judgment and discretion
  • Proactive  and attention to details

Starts at $14.50/hour 


A review is conducted after a 90-day trial period and then repeated on an annual basis.
